Getting started

Stockpace tells you what to reorder from each supplier, based on your Shopify sales and stock, and turns that into purchase orders.

Install

  1. Install Stockpace from the Shopify App Store.
  2. Choose a plan on Shopify's plan page. Every plan starts with a 14-day free trial. See Plans and billing.
  3. Stockpace opens inside your Shopify admin. On a computer it opens on the Dashboard tab; on a phone it opens on Purchase orders.

What happens the first time you open it

Stockpace only reads your store to get started. It does not change products, prices or stock.

  • Your store details. Your store name, addresses and stock locations are read so they can be printed on purchase orders. They are read again every day.
  • Vendors from your brands. Every product vendor (brand) in Shopify becomes a vendor in Stockpace. Each one gets the lead time and days of stock from Settings and your store currency. Emails, payment terms, minimums and addresses are left empty for you to fill in. New brands you add to Shopify later become vendors automatically.
  • Orders. Stockpace reads up to two years of orders in the background. This takes a few minutes; the banner Reading two years of orders from Shopify shows while it runs, and the numbers fill in when it finishes. After that, new and changed orders are read every 30 minutes.
  • Stock. Available stock is read for the locations that fulfil your online orders, and then every hour.

The bar at the top right of the page shows how far the data goes back (orders since …) and when stock was last read (stock … ago).

Note: until Shopify approves Stockpace for older orders, apps can only read the last 60 days of orders. See FAQ and troubleshooting.

Your first 15 minutes

  1. Check your stock locations. Open Settings, scroll to Stock and tick the Shopify locations whose stock you want to count. Leave out stock held by a marketplace, such as Amazon FBA. Press Save settings.
  2. Set your default lead time and days of stock. In Settings → Forecast, set Lead time (days from ordering to stock on the shelf) and Days of stock (how long each order should last). These apply to every vendor that does not have its own values. See Settings.
  3. Decide which sales count. In Settings → Sales channels, untick any channel whose stock you do not buy yourself, and enter your wholesale discount-code prefixes or order tags if you sell wholesale. See Sales channels and locations.
  4. Complete your main vendors. Open Vendors, click a vendor and add the supplier's email, currency, lead time, minimum order value and payment terms. Merge brands that come from the same supplier. See Vendors.
  5. Add your logo. In Settings → Purchase orders, paste a link to your logo (PNG or JPEG) into Logo on the PDF.
  6. Connect your supplier mailbox (optional). In Settings → Supplier documents, connect the mailbox your suppliers send invoices to. See Supplier documents.
  7. Look at the Dashboard. It lists every brand with something to order now. Press Create PO on one of them to get a draft purchase order. See Dashboard and Purchase orders.

Moving from Inventory Planner?

If you used Inventory Planner (by Sage), you can bring your vendors, email templates, purchase orders and stock history across. See Importing data.

Where things are

Stockpace has three pages in the Shopify admin menu:

Page What it is for
Planning Dashboard, Replenishment, Purchase orders, Stock history, Inventory KPIs, Stockouts, Supplier bills, Vendors, Settings and Data
Costs & RRP Supplier prices from invoices and price lists compared with Shopify. See Costs and RRP
Payments When supplier invoices are due. See Payments

On a phone, the row of tabs becomes a Section drop-down.

Every setting has a small i button next to it. Point at it, or tap it, for a short explanation.
