Receiving stock
Receive into stock records what actually arrived on a purchase order and adds those units to your Shopify stock, so you do not have to adjust inventory by hand.
Receive a delivery
- Open the PO (status sent or partial).
- Press 📦 Receive into stock…. Unsaved changes on the PO are saved first.
- In Received now, type the units that arrived for each line. Leave a box empty for lines that did not arrive.
- Check Add to — the location the units go to. It starts with the PO's destination.
- Press Add N unit(s) to Shopify stock and confirm.
The units are added to the available stock Shopify has at that location now, so sales made since the delivery are kept. Stockpace then shows how many units were added and the new available quantity.
What the form shows
| Column | Meaning |
|---|---|
| Product, SKU | The PO line. not in Shopify = a line added as a non-existing item |
| In Shopify now | Available stock in Shopify at the chosen location, read when the form opens. Stock at your other locations is shown in grey |
| Ordered | Units on the PO |
| Received before | Units received on earlier deliveries |
| Received now | What arrived this time. Red until received before + received now matches the ordered quantity |
If you receive more than was ordered, Stockpace lists the lines and asks you to confirm before adding them.
Scan barcodes
Press ▦ Scan barcodes… to use a USB barcode scanner. Keep the cursor in the Scan box: each scan adds 1 to that product's Received now. A beep confirms a match. A code that is not on the PO, or matches more than one line, adds nothing and shows a warning. Press Close scanner when you are done.
Part deliveries
By default the PO is marked complete only when every line has arrived in full.
- When some lines are short, the PO stays partial and the missing units still count as on order. Receive the rest the same way when it arrives.
- If the supplier will not send the rest, tick The PO is complete — mark it received (green) even if fewer units came. The missing units stop counting as on order.
If you marked a PO received and later find a line came short, open it and press Mark part-received. The missing units count as on order again; stock already added stays.
Received without changing stock
✓ Mark received only changes the PO's status: it turns green and stops counting as on order. Shopify stock is not changed. Use it when you have already adjusted stock another way.
Undo received opens the PO again, as long as no stock was added through Receive into stock.
Receipts on the PO
Each delivery is listed on the PO under Received into stock: when, by whom, at which location, and each product with the units added and the new available stock.
If a receipt shows not finished — check Shopify, the update may not have completed. Check those products' stock in Shopify, then press Clear unfinished receipt so the PO can be received again.
Products not in Shopify yet
Lines added with + Add non-existing item have no Shopify product, so their units are recorded on the PO only. To add them to stock:
- In the receive form, press Create / link in Shopify… on the banner.
- For each line, fill in the title (as on your website, without the brand; include size or shade), option and value, barcode and SKU. Use Add as variant to to add it to an existing product.
- Press Check only to see what will happen. Nothing is written.
- Press Create / link in Shopify… and confirm.
Stockpace checks every SKU and barcode in Shopify first. If one already exists, the line is linked to that variant instead of creating a new one. New products are created as Draft, so they are not on your website until you publish them. Once linked, you can receive their units into stock.
