Vendors
A vendor is a supplier you buy from. Each vendor carries the brands it supplies and the settings used for its recommendations and purchase orders.
Where vendors come from
Stockpace creates a vendor for every product vendor (brand) in Shopify. Each new vendor gets:
- the brand in its Brands list;
- the lead time and days of stock from Settings;
- your store currency;
- no minimum order, and replenishment switched on.
Brands you add to Shopify later become vendors automatically. A brand is only added once: if you rename a vendor, move its brand to another vendor or disable it, Stockpace does not create it again.
If you imported from Inventory Planner, your Inventory Planner vendors are used as well. See Importing data.
The Vendors tab
The tab lists every vendor with its brands, email, currency, lead time, days of stock, Sales counted, and what there is to order: Lines to order, Units to order, Order value (at supplier prices in the vendor's currency), To order at Shopify cost, Order now, Last PO and Open POs. More columns are in the column picker.
Click a vendor to edit it, or press + New vendor.
Vendor settings
Supplier
| Field | What it does |
|---|---|
| Name | The supplier's name as printed on POs. Changing it does not change past POs |
| Currency | Currency of the supplier's prices and POs. Supplier prices from Costs & RRP are only taken in this currency. Changing it does not convert existing POs |
| Enabled | Disabled vendors are hidden from the Replenishment vendor list. When two vendors list the same brand, the enabled one gets the brand's products |
| Replenish this brand | Off = none of the brand's products is recommended, including products added later. Open POs are not changed. Same as ⊘ on the Dashboard |
| Brands (Shopify product vendor) | The Shopify vendors (brands) bought from this supplier, comma separated, spelt as in Shopify. Every product of these brands lands on this vendor's POs, unless the product's Bought from says otherwise |
Ordering
| Field | What it does |
|---|---|
| Lead time | Days from ordering to stock on the shelf, for this vendor. Empty = Settings. Also sets a new PO's expected date |
| Days of stock | How long each order should last after it arrives. Empty = Settings |
| Minimum order value | The supplier's minimum, in the vendor's currency. The Dashboard and POs warn when an order is below it. It does not change quantities — top up the PO yourself |
| Forecast method | Account setting, Recent average + trend or Seasonal (same months last year) |
| Payment terms, Ship via | Kept with the vendor for reference |
| Tax | Default tax % for new POs (for example 20 for UK VAT, 0 for imports). Lines can have their own % |
| Discount | Default trade discount % on new POs, deducted from the total |
More forecast settings for a vendor (safety days, sales window, trend, Nov / Dec uplift, caps) are on any of its draft POs, under Forecast settings. See Purchase orders.
PO email
| Field | What it does |
|---|---|
| Send to | The supplier's order email addresses, comma separated |
| CC | Copied on this supplier's PO emails, on top of the CC in Settings |
| Email template | The email text for this supplier. Default = the NEW PO template |
Sending PO emails from Stockpace is coming next. Until then, download the PDF and email it yourself.
Printed on the PO
- Vendor address — printed as the vendor address on new POs.
- Notes on every PO — printed as Additional details (for example your account number or delivery instructions).
Internal
- Internal notes — for your team. Never printed or sent.
Sales counted as demand
Use the account setting follows Settings → Sales channels. Untick it to choose this vendor's own channels — for example, leave out Amazon FBA for a brand you only sell through FBA from separate stock. See Sales channels and locations.
Press Save vendor.
Which setting wins
For lead time, days of stock and the other forecast settings, a product's own setting wins over the vendor's, and the vendor's wins over Settings.
Merge vendors
When two brands come from the same supplier:
- Open the vendor you want to keep.
- Add the other brand to Brands, spelt as in Shopify, and press Save vendor.
- Open the other vendor and untick Enabled, then save.
The products of both brands now appear on one vendor's Dashboard row and POs.
One brand from two suppliers
Keep the brand on its main vendor. For each product bought elsewhere, open it in Replenishment (Variants view) and set Bought from to the other vendor.
Products under (no vendor)
A product whose Shopify vendor is not in any vendor's Brands list shows under (no vendor) with the warning No vendor. Add the brand to a vendor, or set the product's Bought from.
